Fulfild wasn't designed in a meeting room.

The problem

Generic software doesn't fit how distribution actually runs.

Most distribution businesses are run on tools that were never built for them. A B2C webshop here, an accounting package there, and spreadsheets holding the rest together. None of it talks, so the same numbers are typed in three times and still disagree.

The day-to-day shows it. Orders arrive by phone, email and WhatsApp and get transcribed by hand. Invoices are raised after the fact in spreadsheets, and someone is permanently chasing what's owed. Stock is a best guess until someone walks the shelves. Routes live on paper, and proof of delivery is a signature nobody can find later.

It works, until it doesn't. Every extra customer, route and SKU adds friction, and the business ends up serving its software instead of the other way around.

The decision

So we built the platform from scratch.

Rather than bend a generic tool into shape, we built a system designed around how food distribution actually works. Batch tracking and FEFO rotation. Route-based delivery with real proof of delivery. Credit accounts with limits that hold at checkout. Multi-currency purchasing with landed cost. Allergen and expiry compliance built in, not bolted on.

Then we made one decision that shaped everything: we ran it in a live UK wholesale operation before offering it to anyone else. Not a pilot, not a demo — a real business depending on it every day, with real customers, real deliveries and real money moving through it.

What was built and proven

Eight modules, each replacing something that wasn't working.

The platform grew module by module, each one earning its place by replacing a real process the operation had outgrown.

  • Customer Ordering Portal Orders taken by phone, email and message thread, re-keyed by hand.
  • Operator Dashboard A scatter of spreadsheets that never quite agreed.
  • Warehouse & Fulfilment Stock counted from memory, with no batch or expiry control.
  • Purchasing & Supplier Management Purchase orders lost in email, and a cost price that drifted.
  • Logistics & Route Planning Routes managed on paper and proof of delivery on trust.
  • Financial Management Invoices raised by hand and statements rebuilt every month.
  • Communications & Email Ad-hoc emails with no branding and no record of what was sent.
  • Platform & Infrastructure A patchwork of plugins nobody fully owned or could maintain.

By the end, every order was tracked from placement to proof of delivery. Invoices generated themselves on delivery. Stock was accurate in real time. The driver app had replaced the paper route sheet, and the spreadsheets were gone.
